The sales journal module is dived
into three major sections namely: |

The customers section |

The Invoices section |

The Products Section |

A. The
customers section provides the sales journal with an abridge
customer's information. It shows you the customer's
balance, address and several information about the customers.
This section is read only and its purpose is to provide
the module with the information of who is transacting the
business. Should you want to Edit information about the customer
information you should do it in the
customer's
information module. |

The Second purpose of this section is to provide a way of
navigating invoices in the module. Clicking on a
particular company in the company list boxl shows the company
information on the customers section. It will however cause the
invoices section to list only invoices and sales transaction
made by the selected company. In this illustration for
example, I have clicked on the GAISANO GROUP OF COMPANIES, so
the list of invoices that are listed in the invoices list are
all made by GAiSANO. |

B. The Invoices section - The invoices section is
divided into two parts: |
|
1. The Invoices heading - which provided the
following Information: The invoice type, the invoice number,
invoice date, the invoice total and the customers.
Envision 2005 can accommodate a business topology of
multi-company centralized or a single inventory. To
accommodate this you just classify your invoices by company. In
the illustration above there are three company's involved
namely; Self-garments, RC and C and Winders. Each of these
company has three sales documents; a delivery Receipt, a Plain
Delivery Receipt and A Sales invoice. Each of this
document can be identified by their corresponding prefix on the
Sales invoice. Clicking on an invoice on the list box shows its
details on the corresponding text and combo boxes. |

2. The invoice details - which is composed of
the data grid which contains the list of products that has been
sold on a particular invoice. it shows you the item code
of the product, the description of the product, the number of
quantity sold per product, the selling price of the product and
the sub-total cost of the product. The sum of all the subtotals
in the invoice details is equal to the invoice-total in the
invoices heading sub section |

C. The products section - this section allows you
to add products in the invoice details sub section. this
sections shows you the inventory information. It is
equipped with its own search utility to easily locate a product
using pattern matching and data filtering. After you have
located the item you can put the qty you wish to put on the
invoice detail section in the "QTY TO ADD" box and click on the
"add to invoice" button. The program does not allow you
put a quantity greater than your inventory on-hand. |

Just like the customer section, If you want to edit something in
the inventory information you must go to the
Inventory
information module. You are however allowed Edit the
Selling price of an Item, so that you can do a price
discrimination without having to go to the inventory information
module. However, this module imposed one more constraints.
and That is,. "you cannot Sell a product lower than the unit
cost" |

THE
SALES JOURNAL BEHIND THE SCENES |
|
There are several
things happening behind the scene of this module. First,
The inventory is automatically adjusted if you put something on
the invoice details. Second, the income generated by the company
is automatically computed on a per item and per invoice basis
which shall be shown on the sales report. Third, the
invoice total is automatically calculated. Fourth, the
customer Year-to-date balance is automatically calculated upon
adding something in the invoice details |
