Working with two versions of Frame on desktop
If you are working with two versions of Frame on your desktop, here is a general tip. When you installed Frame 6, it became your default Frame application. If you are working in the previous version (5.5.6) all day, you can open Frame 5.5.6, and even minimalize it on your desktop. Then, when you double-click a version 5.5.6 file in Explorer, file will open in the Frame version that is open on your desktop.
Only open 6.1 Mod_2 files in Frame 6 at this time. If you open a 5.5.6 file in Frame 6 and the file is saved, the file can no longer be opened in Frame 5.5.6.
Converting previous version files to Frame 6
If for some reason, you need to convert a previous version Frame book to Frame 6, you can do this manually. The conversion is accomplished by simply opening and saving each file and book in Frame 6.
To convert a book to Frame 6, do the following:
After converting the files to Frame 6, you need to import the formats from the current template. To do this:
Be careful not to import formats into the text_template.fm file. If you do, close the file without saving.
Some tips about Frame 6
New book features
Here are some highlights of the new features:
bookwide search and replace and spellcheck
set at book level conditional text & view/hide conditions, format and view, and change bars
search and replace through the entire book without opening files
new book icons for Update book and add & delete files
new Add menu and changes to the Format menu
bookwide navigation--scroll through the entire book
more options for page numbering
book window supports drag-and-drop of files
improved online help
creating PDFs and setting up PDF bookmarks
You can now apply bookwide settings to all, or selected files, in your book. To apply bookwide settings, you should have the book open and select the files you wish to apply settings to. These bookwide settings and/or operations include:
From the View menu, set the page view (zoom), conditional text & view/hide conditions, and other document options such as setting change bars
In the Book window, rename, delete, and rearrange files. To rename a file, click-edit (right click) on the file. Drag and drop files in the Book window to rearrange files.
To select files in the book window, go to Edit-Files and select from all files, generated files, non-generated files, or Framemaker files. You can also Shift-click or Ctrl-click to select multiple files in the book window.
Each time you Update a book, the Book Error Log is created and displays if there are errors in
your book. The Book Error Log reports any broken cross-references, inconsistencies in condition
settings, and other inconsistencies in each file. This report contains the links to the docs in question.
You can print this report. To save this report which is a locked file (view-only), press the key combination Esc F l k. The F is uppercase and the l k is lowercase.
Ways for displaying the Find/Change window:
With the Edit menu
With the QuickAccess bar Find/Change button
With the keyboard shortcut Ctrl-F
There is a new option on the Find/Change window to allow you to search through the book. With the book window open, select Edit-File/Change and accept the default Book setting and perform your search as usual.
To search through selected documents only with the book window open, select the files in the book window and click on Selection. The search in Document option is grey out when the book window is open.
To search an open document with the book window open, select the Document or Selection option. Then, you don't search the entire book.
If you used the Find/Change window and now its closed, you can still search for the next occurrence, by selecting Edit-Find/Next (Alt e n).
Four new icons appear at the lower right-hand corner of an open book:
Display heading text-displays the actual name of the chapter file or the first heading that appears in the chapter
Update book and generated files
Add file to the book
Delete file from the book
The Update book function (renamed from Update/Generate in version 5.5.6) has been moved from the File menu to the Edit Menu (shortcut key Alt e b), and is also available as an icon in the book window.
Right-clicking in the book windows displays a menu and this was carried over from Frame 5.5.6. However, in Frame 6 the Update book and the Add file function have been removed from this menu. They have added (file) Open, Close, Save, and Print.
If you are importing a template to a book, you have to select the target files in the book window first and then perform the Import. Importing from a single open file to another file has not changed.
With a book and file open, you can scroll through the pages using the Page Up or Page Down keys. When you get to the end, or to the top of the file, you will be prompted to open the next or previous file. This allows you to scroll from file to file in sequence without manually opening a file. Or, you can press Shift and File-Open to open all files first and scroll through without encountering the prompt.
Select the menu Format-Document-Numbering to set the page numbering properties of your book. Click on Set when you are done. To see more pagination properties, select the menu Format-Page Layout-Pagination.
The Numbering properties window also gives you the option to create book volumes and books within books. For our documentation, we don't use these options.
Use the Add menu to add and setup generated and non-generated files to the book. Adding a generated file is not the same as adding a non-generated file. If you have added a generated file, for example, a TOC, index, or list of cross-references, you need to go through the Set Up dialog box.
The added generated list has no formatting. To apply the formatting, find the template for the TOC or index. Open the TOC or index template, save it to the book folder, and rename the file to match your book, such as filenameTOC or filenameIX. Make sure you have added the TOC or index to the book as a generated file, and then Update the book. The TOC and index will have the characteristics of the template you applied.
The Style option on the Format menu has been expanded to make it easier to apply manual changes to tags. If you use these, you will be creating overrides to tags. For our purposes, you should be applying the character tags in the Character Catalog.
Shortcut keys for catalogs:
Ctrl 9 for the paragraph catalog
Ctrl 8 for the character catalog
You can create a book with a document open and click on File-New-Book.
In Frame 6, this step is optional. You can create a book without any documents open.
Select-File-New-Book.
If a document is open, you are asked if you want to add the open file. Click on Yes.
The book is created and you rename and save the book.
With a Frame book open, select the Add menu and select Table of contents or Standard Index.
Select the headings you want included in the Table of contents and click the Add button. For the Index, you don't need to add any headings.
Click on Update book to generate the lists.
To create a standalone table of contents for one file, open the file and select Special Menu-Table of contents.
Print selected files in the book window by selecting files (Ctrl-click or Shift-click) and then right-click in the book window and select Print. The Print Selected Files in Book window displays.
Online Help has new features to print the Help screen and includes an Index and Find feature. The Print button is at the bottom of the Help window.
If your online Help did not install properly with Frame 6, you can create a
shortcut link to the Help file to place on your Desktop. The Help file is located at:
C:\Program Files\Adobe\FrameMaker6.0\help\FM6.HLP. Locate this file in Explorer, right-click and select Create Shortcut. Drag this shortcut to your desktop.
