9-3-05 officers' meeting

Recap of this year's SWE officers:
*co-presidents: Gena and Jamie Schoffeit
*vice president: Sara
*secretary: Alice
*treasurer: Tia
*corporate liaison: Lily
*faculty liaison: Lindsay Wray
*historians/publicists: Zane and Jowene
*listkeeper: Mackenzie

Recruiting Freshmen
-Go around to frosh rooms and tell them about SWE? May be a bit too much for a couple of ppl to go all around campus.
-If you see frosh in your dorm, tell them about SWE and invite them to meetings.
-Of officers, no one is in North, West, or South dorms.
-Tell people at the first meeting to tell their frosh.

Thai Food Event
-Can't have it on the 12th because of the 5C club fair
-Will have it @5:30-6:30 pm on Thursday, September 15th
-Tia will call Mix Bowl about ordering food & let us know if someone needs to pick it up
-Tia has the list of what we purchased, need a little more food than last year
-Jamie and Gena will go to Costco (Jamie has a Costco card) to buy soda (a few cans in the engineering lounge), plates, tablecloths, ice chest, and ice? (Genah will see if there's an ice machine in Hoch-Shanahan)
-Mack will do posters and put them up (she'll recruit her own help)
-The dinner will be in front of Sprague Library, although Bassman said it is sometimes smelly (Hixon Court was considered, but there were problems with it in past years)
-Gena will order tables from F&M
-Alice will email frosh, sophomores, SWE, and engineering students on Monday the 12th
-Lindsay will email the faculty the week beforehand

Faculty Dinners, Speakers, and Educational Visits
-We'd like to arrange lots of faculty dinners throughout the year
-We'll try to have speakers about once a month at meetings
-Corporate relations would like to know about what kinds of speakers we'd like so that they can help us find them
-We had a list of the kinds of speakers we wanted from last year
-Maybe conduct another survey about speakers on Monday
-Bassman knows grad student alumni
-Lily will meet with Russ Rutledge about educational visits

Outreach
-Sarah found out about the volunteer coordinators at the LAC
-Want to get SWE more involved in community service (ex: tutoring) and get more known in the community and around the 5C's
-Girl Scouts suggested a day along the lines of WEST—they'd help us with almost everything, we can try one this semester and drop out if it gets to be too much work
-We are now working directly with Girl Scouts
-Tia will look into the money from Girl Scouts last year that didn't make it to NSBE
-If a freshman girl who attended WEST last year wants the book stipend that we discussed funding, she needs to come to SWE and point out that she went to WEST

Miss SWE Pageant
-We will have the Miss SWE Pageant again this year around Halloween (October or November)
-Deren said that he would do it for us, but we should ask him again as soon as we find a date

Fun Social Events
-We want to have one about once a month
-movie nights, bowling, arts & crafts, etc

National SWE Conference
-The national conference will be in Anaheim, CA November 3-5 (Thursday-Saturday)
-Early Bird registration (by September 15th) will save us lots of money
-SWE will pay for full conference cost for anyone who wants to go, except for the extra cost if people register late
-SWE should figure out what activities to go to at the conference so that people will stick together
-Can draw on list of companies and activities for things for us to do some other time
-People should register/re-register for National SWE online—it's $20 to renew a student membership, and we won't be sponsoring scholarships (possibly see about it later)
-Sarah will take care of the Quarterly Report

WEST
-will be March 4, 2006 (same date as Regional SWE conference)
-start thinking about keynote speaker: Kitty Ressler, VP of Qualcomm? Ione Fine every other year? Someone from IdeaLab? Bassman saw a black woman at JPL who's interested in outreach, maybe we can have her at a dinner to see what she's like—keep ears open for other ideas

Pre-frosh Weekend
-Wanna do Girls Night In party again
-possibly put papers in their packets telling them about SWE and inviting them to a meeting
-Jowene will look into getting admissions office to put a flier in packets of all girl pre-frosh about SWE

Website
-Bassman will email Alice link stuff from engingeering page
-Alice will try to figure out about getting a school site
-Jowene and Alice will work together so that Jowene can learn (picture folder, etc.)

Other
-Considered point system and raffle for rewarding people for activities, but decided not to
-Considered arts and crafts (stress balls, hot pads, etc) at meetings, but decided to do it at social events
-Recruit the people who helped at WEST to become active in SWE this year
-Trying to rewrite our SWE bylaws
-Transportation: Gena and Jamie have cars, as many people as possible need to register as Mudd van drivers in the engineering office ASAP
-Jamie will type and email contact list for officers
-No mention of us in SWE magazine, should send stuff in
-Don't know about the increase in membership award, will find out at regional conference
-Real meeting will start @6 PM on Monday, officers will introduce themselves
-If we have more officer meetings, they will be on weekdays
