East Coast w/ADP (ATS PORTION):
Getting
Assignment Sheet (section I):
1) Double click the shortcut to ATS-WEBSITE located on your desktop…it has a little blue E, NOT THE FOLDER.
2) logon. (logon name = firstinitiallastname, password = your initials (excluding middle name)) EXAMPLE: My name is Matt Davis, my logon name is mdavis and my password is md.
3) VERY IMPORTANT!!!!!!!!!! if you get a security warning make sure to check the “always trust” box and to click yes.
4) This will take you to another site, the assignment list. This lists every file that is assigned to you.
5) Click the number to bring up the claim.
6) VERY IMPORTANT!!!!!!!!!! if you get a security warning make sure to check the “always trust” box and to click yes.
7) The title of this next site should be “Assignment # ____).
8) Click report near the top left.
9) On this next page click the display button.
10) This will display the “assignment sheet” with such information as; the vehicle location, owners location and phone number etc.
11) Left click “file” on the top left.
12) Left click print.
13) Make sure it is printing to your home printer (HP, EPSON etc.)
14) Click print.
15) Were done with ATS for now, close it out entirely.
Filling out info in an Estimate (section II):
1) Double click Penpro icon on your desktop.
2) Log on to Penpro (using your user ID and password).
3) Double click “new claim”
4) Single click estimate. (IF you see a message stating you have 0 days remaining to upload files do the following: (IF not, move on to step 5) click send > left click all claims > left click add to list > left click send to host; wait for the “return to penpro” button to light up, then click it. Try to double click new claim and click estimate again.)
5) You will now be on the “Admin” tab. On this tab make sure to fill out the following fields using the assignment sheet you printed earlier:
Claim #
Company (the insurance company)
Policy # (if applicable)
Loss Date
Loss Type
File Handler (ins. Co. adjuster)
Insured
Claimant (if applicable)
File # (SCA #)
Deductible
Inspection Type
Location (home, shop etc.)
Location City
Location State
Owner Name
6) You can skip the rest of the fields on this tab unless they are applicable.
7) Now click on the vehicle ID tab up top.
8) On this screen make sure to fill out the following fields:
VIN (for testing purposes, do reason for no VIN: UNAVAILABLE)
Desc.
Engine
Trans.
Options.
Point of Impact
Body Color
Mileage
Condition
License #
License State
9) You can leave the rest of the fields blank, unless they are applicable.
10) Left click the damages tab up top. (if penpro prompts you to choose your pxn and pxs options then left click the box on the bottom of the vehicle id tab next to PXN search options and select your area, do the same for the PXN search area).
11) On the damages tab: write your estimate.
12) When your completely done with the estimate, move on to printing.
Printing an estimate (section III):
1) Once finished with the estimate click the print button located on the bottom left of your screen.
2) Click print setup.
3) In the dropdown titled "name" select Acrobat PDFWriter .
4) Click ok.
5) Under "estimate options" make sure to bullet final print (meaning; have the black dot next to final print, not preliminary print).
6) Make sure state disclosures reads what state you do your work in (ie. I live in California therefore my State Disclosure would be “CA”).
7) Click print.
8) Click print again. (if you get an error stating you have no generic print driver installed install a generic printer on your computer, if you do now know how to do this, give me a call)
9) This will bring up a window titled as “Save PDF File As”. Near the top of that window there is an option titled as “save in”. Left click directly right of there and then left click on your “C:\” drive (usually titled as LOCAL HARD DISK, but it could be titled otherwise…look for C:\)
10) This will display every folder on your computer, you want to double click the folder titled as “ATS”. This will display a folder for every assignment you have in ATS (in this case you should only have one) Double click that folder.
11) There is a field titled as “file name” near the bottom of this window. Left click directly right of that and delete what’s there (hold the delete button on your keyboard till “Apwin_Report” is gone) then type in “estimate”.
12) Click save.
13) Once this is done it should kick you back to claims screen. Go ahead and close out of PenPro entirely.
Filling Out Appraiser Report (section IV):
1) Open the SCA forms folder located on your desktop.
2) Double click the file titled “appraiser report – NY”
3) Fill out this form using the assignment sheet you printed out earlier (in section I). Make sure to fill out the following fields:
Company (you can find this on the assignment sheet as “Company: “)
Insured
Company file (you can find this on the assignment sheet as “ins claim#”).
Claimant (if applicable)
Adjuster (insurance company file handler, for testing purposes leave blank)
SCA File (you can find this on the assignment sheet as “assignment #”)
Written by (your name)
Insp. Date and Time
Phone # (yours)
Inspection site (check which box applies)
Work location (check which box applies)
Drivable (yes/no, for testing purposes check “yes”)
Check whether the car is a repairable or a total loss. (fill out whichever “side” applies…ie. Repairable; fill out all left side for testing purposes check repairable)
Fill out all fields until the remarks.
Under remarks type a good paragraph of comments (VERY IMPORTANT!!!!!!!!!! sample appraiser comments are in the guidelines manual, put that in your own words and type it under remarks).
1) Once the form is completely filled out (make sure you have a lot of remarks and every field is filled out correctly) click file on the top left.
2) Click save as.
3) This will bring up a “save as” window.
4) At the top of this window you want to left click directly right of where it says “save in”
5) This will extend a “drop down” menu.
6) From here you want to left click C:\ (usually Local Hard Disk Drive C:)
7) This will display every folder on your hard drive, from here double click the folder titled “ATS”.
8) This will display a folder for every assignment you have on ATS; double click the file number you are working on. (ie. 7447)
9) Click save.
10) We are done with this form, close it out.
NOTE - On a normal assignment you would be required to take 4 corner shots, 2 good shots of the damage, 1 shot of the vin, and 1 shot of the mileage. For testing purposes, please take 6 photos of anything.
1) Plug your camera in and turn it on. A screen titled as “HP Image Unload Software” will open up.
2) This will transfer all the photos from your camera to your hard drive. When it’s done hit close. This will then load the photos to your “SCA PHOTOS” folder.
3) Double click the “SCA PHOTOS” folder on your desktop.
4) This will display a folder for everyday you have transferred photos. Double click today’s date. This is where you would normally select whichever vehicle your working on, but for testing purposes any six photos will do. From here hold the ctrl button on your keyboard and left click 6 photos.
5) Now 6 photos should be highlighted. Click edit on the top of this window. Left click copy.
6) Close this window.
7) Open the ATS FOLDER shortcut on your desktop.
8) This will display a folder for each assignment you have. For now there should be only one, the test file. Double click this folder. (on a normal assignment you will double click the four digit ats folder you are working on.)
9) This will display all the work you’ve done already on this file, your appraiser report and estimate for example. Left click edit on the top of this window, left click paste.
10) This will now transfer the 6 photos we copied earlier off your floppy drive. Move on to the next section.
1) Once you have all the photos in the ATS + the number folder it’s time to upload them.
2) First sign on to ATS. DOUBLE CLICK THE ATS-WEBSITE SHORTCUT LOCATED ON YOUR DESKTOP! (do not use AOL’s browser or MSN’s browser, you must double click the big blue “E” titled as “internet explorer” located on your desktop).
3) This will bring you to your assignment list. From here; left click the number were working on.
4) On this next screen click the “appraisal” button near the top of the screen.
5) You might get a prompt asking you to make sure to fill out certain fields (license plate, insured, address, car info, inspection location) if so, then fill out the blank fields > click update > click appraisal.
6) This will take you to the “appraisal info for file#” screen. On this screen make sure to fill out at least the following fields:
Appraisal Type (pick accordingly)
Billing Type (always put flat fee unless told otherwise)
Gross Repair Amount
Appraiser Comments (since you already filled out the comments on the appraiser report most people put “see attached” in this field. But something must be written in this and the previous 3 fields in order for you to go to the next screen.
7) If other information is applicable, fill out the following fields.
8) When finished click “update”.
9) Then click the “estimate” button near the top right of the screen.
10) If you get a security warning; check the always trust box and click OK.
11) In this screen you want to click the “add” button.
12) This will display the contents of the ATS folder we have saving our work in thus far.
13) In here select all the photos NOT THE ESTIMATE OR APPRAISER REPORT (you can select more then one by holding the ctrl button while selecting them) and click OK.
14) Then click the “upload” button.
15) This will display a progress bar that is already at one hundred percent. The upload is not complete until this box disappears entirely.
16) When the upload is complete close the upload estimate/pictures window. Then close the window behind that as well.
17) The title of this screen should be “Assignment #.” On this page click the report button.
18) On this next screen bullet the “pictures” option.
19) Then click display.
20) This will display the photos you just uploaded. Wait for the pictures to completely load.
21) Once the photos are done loading click file on the top left of your screen.
22) Left click print.
23) Select Acrobat PDFwriter as the printer.
24) Click print.
25) Another window should pop up asking where to save the file.
26) Right of where it says “save in” left click that “drop down” menu and left click your C:\.
27) Then you will see a bunch of folders. Double click the ATS folder.
28) Double click the number were working on.
29) Right of where it says “file name” delete what’s in there and type in “photos”.
30) Then click save.
31) Close out of ATS the web site entirely.
1) Double click the ATS folder on your desktop.
2) Double click the number of the folder were working on.
3) This will display all of the files we have been saving. The goal here is to put the three forms together in this order:
Invoice (if applicable)
Appraiser Report
Estimate
NADA Report (if requested)
Misc. (tow bills, salvage bids etc.)
Photos
4) Going by that order you should open the first form. In this case, it would be the appraisers report. So double click the appraiser report-ny file.
5) Once it has happened click “document” up top.
6) Then click insert pages.
7) It will then ask you what do you want to insert, in this box where it says look in click there and select C:\.
8) Double click ats.
9) Double click the file number.
10) Double click the next page to insert (the estimate in this case).
11) And it will then ask where do you want to insert it, select “after” and bullet “last”.
12) Then hit ok.
13) Then click document up top again. Then click insert pages again.
14) Then select the next page to insert (the photos in this case) and hit ok.
15) Then select “after” and “last” and click ok.
16) Then click file on the top left and go to “save as”.
17) Where it says save in click the drop down and click the C:\.
18) Double click ATS folder.
19) Double click the file number were working on.
4) Where it says file name delete what’s in there and title it “#NY” in replace of the number sign type in what file number your working on. EXAMPLE: 5555NY Make sure not to include the number sign.
5) Click save.
6) Close this window. Open ATS’ website.
7) Logon.
8) Click number to pull up assignment.
9) Click appraisal.
10) Click estimate.
11) Click add.
12) Select the completed report ONLY THE COMPLETED REPORT, NOTHING ELSE. Hit ok.
13) Click upload.
14) Wait till progress window disappears and your done uploading the completed file to SCA.
East coast w/ADP (PROCESSCLAIMS PORTION):
MAKE SURE PENPRO IS CLOSED WHEN UPLOADING TO PROCESSCLAIMS!!!!
1) Double click the processclaims shortcut on your desktop.
2) Logon using your “raymondmiller” as the login and “rm” as the password.
3) If prompted with a security warning be sure to check the “always trust box” and click yes.
4) Wait for the page to be done loading. This will display a list of all of your processclaims assignments. In this case their should be only one, the test file.
5) Once the page is done loading click the “claims” button up top. It has an arrow pointing downward.
6) Then move your mouse over estimate > left click upload estimate.
7) If prompted with a security warning be sure to check the “always trust box” and click yes.
8) Wait for the page to be done loading.
9) This page will display a list of all your files assigned to you via processclaims on the left and near the top right it will display a list of all your estimates and near the bottom left should be a “tree breakdown” of your computer, ie. My Computer A: C: D:.
10) Once the page is done you want to click the “refresh” button near the right side of the screen, NOT on the very top.
11) Click OK when prompted.
12) Wait for page to re-load.
13) Now you should see all of the estimates you have in ADP displayed in the top right box beneath where it says “status, source, insurance co.”.
14) Drag the estimate from the right and drop it on the test file on the left, when I say “estimate” I mean the line on the right that says “ready penpro, insured name, make, model etc.” Left click and hold this and move your mouse over to the left and let go over the test file, meaning the test claim number located on the left. (processclaims is very picky on where you drop the file, make sure that you left click and hold the estimate located on the right and drag it over to the left and drop it directly on top of the test claim# on the left) . If you do so correctly, you should get a prompt informing you that the following fields in the estimate does not match the claim. This is good, you want to see this, you will see it every time, click YES. If it asks you if the estimate is final then click YES again. Then NO (this is when it asks you if the file is a total loss or not, if it wasn’t a test file and it was a total and you hit YES it would then take you into a CCC form to fill out).
15) Now the estimate should be located beneath the test on the left. The next two things SCA wants for a processclaim file is the completed report, and the individual photos (meaning, not the photo.pdf file we made earlier, but the individual jpg files that are in the ats folder).
16) Press the f11 button on your keyboard (this will maximize the internet explorer browser to make the following steps easier).
17) Click the plus next to the C on the bottom right.
18) Click the plus next to the ATS.
19) Left click the number we are working on. This will now display the contents of this folder on the right.
20) Drag over the completed report from right and drop it on the test file on the left, just as we did with the estimate.
21) Drag over the photos from right and drop them on the test file on the left as well (be sure NOT to upload the PHOTOS.PDF….just the JPG files.).
22) Once you have the three manual files for processclaims (the estimate data; NOT THE ESTIMATE PDF, the completed report; NOT THE APPRAISER REPORT, and the individual photos; NOT THE PHOTOS.PDF) located on the left side, then hit the upload button located on the bottom left of the screen.
23) When its done it will say upload complete. Hit Ok.
