CONVENTION RATES


The rates for the 2001 convention are $186.00 plus $14.88 NY State Tax ($200.88) for each Key Clubber and $195.00 plus $15.60 NY State Tax ($210.60) for each adult registration. A Key Club can waive the NY State Tax charge by submitting the tax exempt number from their school. This number must be included with the registration on page one.

The rates are for Friday after lunch to Sunday after lunch and include gratuities for the dining room staff, chambermaid, and a registration fee, exclusive of personal use of concessions. Extra services require extra gratuities.

Payment in full must accompany all reservations. No Key Clubber's reservation will be processed unless accompanied by an advisor's or chaperone's reservation which must also be paid in full. All reservations are on a first-come, first-served basis, based upon date registration received. Room assignments are at the descretion of the hotel. Submission of the Registration Form is not a guarantee of reservations at the convention.

The adult rate for the weekend is the same regardless of where accommodations are located. There will be no single rooms available. Only one advisor/chaperone per then Key Clubbers is required. Please do not bring additional chaperones/advisors due to space limitations.

Tax exempt numbers must be submitted with the reservation form or the amount of tax must be included for each reservation.

Each club will be limited to 25 Key Clubbers. A club can send in registration and payment for up to 10 additional Key Clubbers. A Waiting List will be created should the convention not be a sellout. If vacancies exist, clubs will be contacted on Friday, March 9.

Key Clubs may submit suggested rooming lists with their reservation, however there is no guarantee.


SPECIAL NOTES OF IMPORTANCE--KEEP THIS INFORMATION SHEET FOR REFERENCE

1. CHARGES. All Key Clubbers will be on a cash and carry basis while at Kutsher's and will not be allowed to charge. All outgoing telephone calls must be made from a pay phone. Adults may charge and will pay charges upon checking out.

2. TRANSPORTATION. Adults and Key Clubbers must arrange their own transportation at their own cost. Key Club District Policy recommends the Key Clubbers shall not travel by private motor vehicle unless accompanied by an adult.

3. PAYMENT. All Key Clubbers, adults, and their children must send in checks representing the full payment for the entire weekend. Make checks payable to Kutsher's. The rate is for the entire convention. There are no single day rates.

4. TRANSFERS. NO TRANSFER OF PREPAYMENT WILL BE PERMITTED! THIS MEANS THAT ONE PERSON CANNOT USE THE PAYMENT MADE BY ANOTHER PRE-REGISTERED PERSON WHO CANNOT ATTEND, WHETHER KEY CLUBBER OR ADULT.

5. CHAPERONES. Each registration form must clearly indicate the name and title of the Chaperone(s) who will attend the Convention with the Key Club. If a Key Club shares a chaperone with another club, the chaperone must complete and sign the chaperone's statement on the reservation form for each club. It shall be a violation of Convention Rules to list the name of a chaperone who has either not registered for the convention or does not plan to attend the convention. Above all, no adult may act as chaperone for more than ten (10) Key Clubbers.

6. REFUNDS. A full refund will be made if a request is made in writing addressed to Linda Gilberf at Kutsher's and postmarked before March 9, 2001.

a. Kutsher's must be contacted regarding the cancellation. This can be done in writing or personally by phone. All requests are to be directed to Linda Gilberg. Phone calls will be accepted between the hours of 9:00 a.m. and 5:00 p.m. A cancellation number must be obtained AND

b. A request for a refund must be sent to District Administrator Andrew Lowenberg, P.O. Box 8, Sayville, NY 11782, setting forth the reason for the cancellation. BETWEEN MARCH 9TH AND MARCH 19TH A CANCELLATION CHARGE OF $25 WILL BE DEDUCTED. FROM MARCH 19TH-22ND A CANCELLATION CHARGE OF $50 WILL BE DEDUCTED. All refund requests must be received by March 25th and must include the cancellation number.

c. There will be NO refund if Linda Gilberg is not contacted at Kutsher's by noon, March 22, 2001. Last minute cancellations will be handled at the discretion of Kutsher's.

d. ALL CANCELLATIONS AND REFUNDS WILL BE HANDLED BY KUTSHER'S.

7. PARKING. Registration includes free parking. Kiwanians for other adults are required to travel with Key Clubbers where transportation is by private automobile. No Key Clubber may drive their car to the convention.

8. PRIORITY. No registration can be guaranteed. Priority will be given to those reservations received by February 28th.

9. LIMITATION. Each club is limited to a maximum of (25) Key Clubbers.

10. MEDICAL FORM. Each Key Clubber registered must submit a completed medical form upon arriving at the convention. Forms should be turned in by the chaperone of record to the desk of the Sergeant-at-Arms.

Reservations must be accompanied by full payment and will be rejected if said payment is not enclosed. Also, it will be rejected if registration form does not indicate that an adult chaperone is also registering as a chaperone for this particular group. Convention is open only to bona fide dues paying members of the Key Club - New York District as recognized by Key Club International, together with Kiwanians and Faculty Advisors.

Code of Conduct

The following set of rules has been adopted, revised, and maintained by the New York District Key Club Board of Trustees to ensure the comfort and pleasure of everyone. Please share this with all members of your club who will be attending the 53rd Annual Convention of the New York District of Key Club International.

  1. No Key Clubber will be permitted to leave the hotel grounds for any purpose until the close of Convention.
  2. No Key Clubber will be allowed to charge any expense. All Key Clubbers must pay cash for hotel expenses.
  3. No Key Clubber will be permitted to drink or to have in his/her possession in his/her room any intoxicating beverage, including beer or wine. This rule applies to all Key Clubbers regardless of age, as well as guests. If alcoholic beverages are found in a room, all Key Clubbers or persons in that room at the time may be held equally for the violation of these rules. This same rule applies to the use of any drug, narcotic, or controlled substance, except prescribed medicine.
  4. Care shall be taken not to deface any property. Throwing of any objects from windows is prohibited.
  5. The Sergeant-at-Arms Committee is authorized to confiscate any materials causing or likely to cause a disturbance to the orderly procedure or the Convention.
  6. No Key Clubbers will be allowed to have fireworks.
  7. A 12:00 AM curfew will be observed and enforced. All chaperones shall make sure that those Key Clubbers for whom they have assumed responsibility are in their assigned rooms at curfew. Unnecessary noises at any hour are prohibited.
  8. All persons attending the Convention will be expected to cooperate with and respect the authority of the Sergeant-at-Arms Committee at all times.
  9. It is a misdemeanor or criminal offense in New York State for anyone to be staying in a room other than the one to which (s)he is registered, or to be under an assumed name.
  10. No Key Clubber will be permitted in any room of the hotel assigned to Key Clubbers of the opposite sex.
  11. A program will be held at each of the meal sessions. In view of the fact that attendance is mandatory at such sessions, no Key Clubber or other person will be allowed to leave the room during a meal session or program without the expressed authority of the chairperson of the Sergeant-at-Arms Committee. Members of the committee will be posted at the entrances to enforce this regulation. Anyone not abiding by these directions will be held in violation of these rules.
  12. Name tags must be worn at all times during the Convention.
  13. Attendance of Key Clubbers at caucus sessions is mandatory.
  14. No Key Clubber, Kiwanian, or adult advisor shall be allowed to be present at any of the caucuses except the caucus of the division in which his/her Kiwanis or Key Club is located. However, the Key Club Governor, designated members of the Sergeant-at-Arms Committee, and the District Administrator or his appointees shall not be subject to this regulation. All others must be accompanied by one of the above mentioned persons, or they shall not be allowed to attend a caucus session. The Sergeant-at-Arms Committee, Key Club Lt. Governor, and the Kiwanis Advisor shall enforce this regulation and may prohibit any unauthorized persons from entering the caucus. No person other than the assigned Lt. Governor, a Key Clubber recognized by the Lt. Governor, the assigned Kiwanian to that caucus or assigned advisor are allowed the floor. No person other than Key Clubbers may question a candidate and only when recognized by the Key Club Lt. Governor.
  15. Jacket and tie are mandatory dress for all meal sessions and programs. Dress skirts, derss pants, or appropriate pants are required for women. Jeans, designer or oother types, will not be acceptable dress for meal sessions. Sneakers are not acceptable. Neat dress and dress that is not distracting is expected during the COnvention at all times. At Saturday afternoon's lunch session, and all Saturday workshops and contests (excluding the evening meal session and general session), Key Clubbers may wear "business casual" attire. In other words, pants and a dress shirt, sweater, or any other such attire excluding sneakers and jeans.   16. Every person attending the Convention wil be expected to attend all general sessions and other activities as directed in the Convention program.
  17. All Key Clubbers running for office, campaign managers and committee members are to abide by the official rules for campaigning which are sent to each club and given to each candidate.
  18. Smoking is not permitted at any Convention function, including caucuses.
  19. No person will be entitled to any refund of registration fees if dismissed from the Convention for disciplinary reasons. Anyone dismissed from the Convention should understand that (s)he must pay his/her own expense home and that a letter will be sent to his/her parents, school principal, and sponsoring Kiwanis Club.


ADVISOR AND CHAPERONE RESPONSIBILITIES FOR THE CONVENTION

The New York District Key Club Conventiono is a working weekend for all adults. We need your cooperation to ensure a successful and rewarding convention. Therefore, we ask that you adhere to the following duties and responsibilites.

  1. All adults are responsible for their Key Club members at all times.
  2. An adult must be seated at each table in the dining room.
  3. All meal sessions will begin with the Pledge and an invocation.
  4. Key Club Code of Conduct includes standing for the invocation and benediction.
  5. Being in the dining room during mealtime is mandatory.
  6. All adults are to keep their members quiet during speeches in the dining room and Stardust Room.
  7. Each advisor will sit with their members at meal sessions and in the Stardust Room.
  8. Being in the Stardust Room during general sessions is mandatory.
  9. All adults must see to it that all of their members act in accordance with the Code of Conduct.
  10. All adults must act in accordance with the COde of Conduct.
  11. Each advisor MUST attend the Advisor's Workshop.
  12. All adults will do bed checks for their clubs.
  13. All adults, when asked, WILL assist the Sgt.-at-Arms.
  14. Advisors will be responsible for havin their delegates at the House of Delegates on time, properly prepared, and properly dressed.
  15. Advisors must attend the Division Caucus and take attendance for their club.
  16. This is a SMOKE-FREE and ALCOHOL-FREE Convention.
  17. NO ROOM CHANGES without Kutsher's approval.
  18. BADGES MUST BE WORN AT ALL TIMES AND MUST BE PROPERLY DISPLAYED.
