BOARD MEETING MINUTES
January 14, 2003
Meeting was called to order at 6:35pm by Cyndi Ward, President. Members in attendance were
Kathy Sanders, Teresa Warren, Glory White, Susan Decker, Lisa Soltow, Ronnie Mallard, Bill Ward,
and Robin Ball. Also present was Terry Hall. The reading of the minutes
was waived because Teresa Sykes was not present and she had the minutes from the
previous meeting.
Treasurer's Report:
- Our current balance is $15,106.62. There were no debits or credits
this month.

OLD BUSINESS:
- Cyndi reiterated that the previous board raised the
registration fee to $35.
- Our district will remain Craven, Pamlico and Jones
- Cyndi is still looking for a person to volunteer to go to
the Jones county schools to hand out flyers.
- Glory is going to Pamlico to put up posters in the schools
and we need someone to help Cyndi in Craven County.
- Flyers to the businesses will be distrbuted at the February
Board meeting and can be picked up at Bill's office starting this Friday.
- Registration forms will be going to New Bern Sporting
Goods, Hibbet Sports and some places in Jones and Pamlico Counties. We
are asking for $35 and a copy of the Birth Certificate because no one form
the Board will be there to verify the Birth Certificate.
NEW BUSINESS:
- Tournament News:
- The contract for each parent is ready
- The forms, Welcome Letter and Sponsorship agreement are ready
- The Program front and back pages are $1000 for a Gold Sponsor.
The Sponsor gets 10 passes, a plaque and the front or back page

- There will be a fee for our parents page, this is where the parents
can write a small message to their child
- We have 5 fields (Trader, Bengel, 5, 6, and 8 in the back) but
we could use the Little League fields if we pay the fee to have the
mounds removed. Terry is looking into the cost.
- Susan needs a key for the lights
- Eddie does not have any temporary fencing. We are going to ask
for donations if we need it.
- Porta-Johns will be necessary if we use field 5,6,and 8.
- For the field maintenance we need lawn mowers or ATVs with turf
tires. The County has the drags we can use.
- We need to buy the lime to line the fields. Glory may be able to
get them donated.
- Security is being handled by Terry.
- The rescue squad was not able to offer any one on-site, but they are
right across the street and can bee there in a matter of minutes.
Susan and Terry are looking into asking the for EMTs and asking the
Hospital if we can get an ambulance and crew for the event.
- Cyndi has pictures handled.
- There is a coaches meeting on June 17th at the Temple gym. We
are estimating 50 people and want to serve them dinner.
- The Home Run Derby will be at opening ceremonies. The winner
will get a small prize, probably a T-shirt.
- The ticket booth can be setup on the road by the speed bump. We
are thinking about charging per day per car.
- The concession stand needs to be fully stocked. Susan is
checking with Pepsi about ice or a truck to get the drinks cold
in. We need to decide on whether to get an ice machine or use
coolers for ice. She is also going to check with Maola about a
small ice cream truck.
- They are still looking into subcontracting the food because of Health
Department rules.
- Our regular season registration is February 8th from 10am to 4pm at the
Mall. Robin and Teresa W. are 10 to 12, Bill, Cyndi and Lisa are 12-2
and Susan and Kathy are 2 to 4.
- Our draft day is the 22nd at Creekside. We are doing the 16/18 at
10am, the 14/12 at 12pm and the 8/10 at 2pm.
- Opening day is March 22nd at 9:00am. Everyone will play that day.
- We would like to play Monday, Tuesday, Thursday and Friday. We will
use Saturday for raindates.
- There is a managers meeting at Temple on the 28th at 6:30pm. Todd is
coordinating it.
- The umpires were represented.
- It is OK to pay by check after the games.
- Each umpire has to sign a creed.
- It an umpire is intoxicated or otherwise appears unprofessional,
address it immediately with the individual and then call Mitch.
- We need to get our insurance based on last years numbers and we can add
later if we need to. We insure per team.
- We are going to purchase the insurance for the Officers and Directors.
- Cyndi wants to do a cookout for the Board members. Taking
suggestions at the next meeting.
- Robin will call on Sunday's before the Board meetings to remind everyone.
- The next meeting was scheduled for Tuesday, February 11th at 6:30pm at
Temple Baptist upstairs back right.
- There being no further business, the meeting was adjourned.
