Party Planning Checklist

Summary: The following timetable is a good guideline for advance planning and preparations for your party. Print a copy of this checklist and use it to take some of the guesswork and stress out of planning your special event.

Check List:

One Month Before Your Party:

1) Set a budget.
2) Select a theme.
3) Pick a date and time. Parties are usually 1 1/2 to 3 hours long.
4) Make a guest list.

5) We order your supplies, tableware, and decorations in keeping with the theme you have selected. We won't forget favors and prizes!

Two To Three Weeks Before Your Party:

1) Send out the invitations. For easier planning, it is a good idea to ask guests to RSVP.

2) Allow us to plan activities and games, taking into account the theme of your party and the age group and interests of your guests.

3)We will make the appropriate bookings for first class high-quality entertainers and/or musicians for your party.

4) Allow us to help you to Select a menu for your party, again taking into account the party's theme and your guests. Then we will contact the caterer, the bakery, or the supermarket on your behalf.

5) Depending on the size of your event, we may need to arrange for hiring outside help, or ask friends and relatives to assist you on the day of the party.

6) We can also arrange for party security personnel to greet your guests at the door in order to avoid party crashing.

One Week Before Your Party:

1) We will Order food (including cake) that you do not plan to make yourself.

2) Prepare and freeze any food (including cake) that you plan to make yourself and that can be prepared ahead of time.

3) We check to confirm delivery or pick up dates and times for special orders of food (including cake) and supplies for your party.

4) We make out a schedule of activities and games. We are always sure to include a few extra ideas in case you run out of things to do before the designated party time is over.

5) We order any special decorations, centerpieces, or balloons (latex and/or mylar) to be picked up or delivered to the party site the day of your party.

Two To Three Days Before Your Party:

1) We buy any remaining food items and supplies you have checked off on our USA Party Supplies Checklist.

2) We are always sure batteries for cameras, tape recorders, and/or camcorders are fresh, and that all equipment is in working order.

3) Contact any guests who have not yet responded to your invitation so that you have a guest count that is as accurate as possible.

One Day Before Your Party:

1) We pick up and properly store special order foods (including cake).

2) If you wish, you can Finish decorating the cake you baked yourself, and prepare and properly store food that can be made ahead of time.

3) We will Begin to decorate the party area. We usually wait until the day of the party to decorate areas that are exposed to the outdoor elements. Have a contingency plan if weather does not cooperate!

Day Of The Party!

1) We prepare food and beverages that could not be made ahead of time.

2) We pick up or have delivered to the party site helium filled balloons.

3) We decorate any outside party areas.

4) Enjoy the festivities, and congratulate yourself on a successful, well planned event!
