
There were no minutes available to be read. The treasurers report was read for the month of February. Checking $6,891.41, petty cash $10.4l, and a C.D. $5000.00.
There has been some confusion as to how events get planned. In September the Co-chair persons get together to plan for the years events. Then they go to the members to vote and discuss them and then they go to the BOD. When a person agrees to chair an event they will determine what it will cost to run the event, food, DJ, etc. to determine the price of the tickets. They will ask for money from Recreation and a form will be filled out by a Recreation Chairperson. They fill out the form and bring it to the office for money. Also they must fill out a form for the office as to date of event, price of the tickets and cut off dates to sell tickets. After the event they will fill out a work sheet with cash register receipts, all expenses, income and profit if any. Any profits made are used during the year for people who need money for equipment, and events with no charge such as Meet your Neighbor, Volunteer Recognition Dinner, Monday night cards, and all the kids parties, the staff Christmas party and equipment needed for events. All monies come from POA, but it belongs to Recreation.
It was suggested that the Recreation Chairperson keep a record of how each event was set up. Such as when to start planning, get a committee together, decorations, cost of food, DJ, etc. This would be a big help for the next person who runs an event.
Old Business - Valentines dance went well, also St. Patrick’s. The Easter Egg hunt had over 120 children and adults. After they found the eggs, they had lunch and crafts.
New Business- May 17th is the Comedy Night at the MCH. Tickets are on sale at the office. We would like to expand the Memorial Day Event to include the opening of the new Kasper Lodge. We would like to have hamburgers, hot dogs and soda. We are looking into renting a Rubber Castle for the kids, the cost would be about $210.00. Also face painting, and the popcorn machine. Volunteers are needed.
June 14th, Fathers Day BBQ. The swim team needs money for a bus trip for August for either Dorney Park - $1,128.50 or Hershey Park - $1017.50. Terry Vetter needs $3000.00 to start up the Craft Lodge, $500.00 for the summer program. John Carney said if we do not have enough money to cover the events POA will advance us the money and we will pay them back.
Bree Della Bella would like to change the date of the Flea Market.
Al Whitney made a motion to adjourn and Carol Greig Seconded. Our next meeting is on May 10th, at 10AM at the Adult Lodge.
