President's Message
Ichigo Umehara
Happy New Year!
1999 must be the year that Pan Pacific Hotels and Resorts must take correct and proper steps to tackle the difficult business times and achieve our goal, which are the 1999 budget and the appropriate goals in associate, guests, owners and community satisfaction. In 1998, although we took the proper action, we were not quick enough and thus not able to achieve the 1998 goal.
Revenue Management
In these turbulent market conditions, we encounter a price war in many places. At the moment, there is an imbalance in the supply and demand and naturally price dumping has continued. The Pan Pacific way of handling the price war is that every associate should have a revenue management mindset to create a new culture. Every reservations associate should make every effort to convert every incoming call into a sale with the "No Regrets" mind set. Every front office associate must upsell the room product at the guest check-in.
In our food & beverage outlets, every associate there should know the menu contents in detail and offer professional services with upselling when taking and handling orders, resulting in more revenue coupled with guest satisfaction. All team members must be sales agents and look for every opportunity to sell rooms, restaurants and banquets and create an exciting hotel atmosphere for everyone concerned. For the area of revenue management, the key words are "JUST DO IT!"
Absolute Care
We must apply Absolute Care in everything that we do especially in the area of operations. If anyone asks what is the special characteristic of Pan Pacific Hotels and Resorts, the answer should be that we practise Absolute Care in everything that we do for our guests, associates, owners and community.
Absolute Care means we have to offer a willingness to serve our guests for an enjoyable experience. In other words, the guest's agenda is the first priority and we serve our guests from pre-arrival to post departure. Naturally, we have to treat each guest as an individual and therefore differently. Front-line associates need to show their initiative in handling guests' needs, offering their own personal touch in making our guests feel at home and encourage them to return to stay with us on future visits.
Workshop with North America representatives
Recently, the corporate team in Singapore participated in a workshop with our colleagues from our hotels and office in North American; Don Dickhens, Susan Gomez and Volker Ulrich. The objective was to create better understanding and support for each other in a one-team mentality.
There were three key points of discussion: Firstly, clearing the air of uncertainty between all parties. Secondly, to develop a mutual understanding of what is the Pan Pacific Culture
And thirdly, the action steps on how to implement revenue management and an Absolute Care mindset and culture in the respective hotels.
In the past, the working relationship between the corporate office in Singapore and San Francisco has not been clear and many hotels in North America have requested for a clear line of communication and channel for doing business internally.
We concluded with the following steps :
The Malaysia/Singapore Meeting
On the 25th and 26th January, the Malaysian and Singapore General Managers, Directors of Sales met in Kuala Lumpur for the quarterly meeting. This time however, the various property Financial Controllers also participated in the meeting which covered many common areas of concern and also discussed strategic items. I am pleased to see that we are able to meet as a group to discuss issues, which concern all hotels in Malaysia and also develop many initiatives that will benefit all concerned.
One such initiative was the RM99 nett voucher promotion, which was launched in December and has generated almost RM900,000 in revenue. Congratulations to the team on the effort and we hope to see more such initiatives in the future.
In tandem with the meeting, a client event was held at the hotel's Pacific Ballroom where chefs from the various hotels outdid themselves with an excellent menu of specialities prepared by each chef.
Year 2k issue
Following my message, you will see a report on Y2K that I have asked Craig Harada to prepare. This is a very important topic that we need to address and there will be many areas that cannot be predicted, we must do all we can to be prepared for any eventuality.
I must also ask that all General Managers be present in his or her respective hotel over that crucial period of transition from 1999 to 2000. The changeover may be chaotic and many things could happen. You must all be physically present to ensure that all events occur smoothly and that any problems are resolved quickly and there is as little impact on the guests as possible. I cannot understress the importance of your actions.
Guest Satisfaction scores
Over the last 1 year, we have been collecting data on what or customers have to say about our hotels, facilities and services. This is a good collection of information which will help us understand our guests needs better and be better able to fulfil and exceed their expectations.
The Guest Satisfaction report is sent out to all of you every month and I encourage everyone to analyse the results and use the report to improve your weak areas. We had set a benchmark score of 8.5 points out of 10 and so far we have a range of results. I extend my congratulations to those hotels that managed to exceed that benchmark bad urge you to strive to further improve on your scores.
For those who have yet to achieve the benchmark, please work harder to do so. When our guests are happy, we would have done our job. There are many opportunities to improve on our services and facilities and I encourage everyone to aim to exceed the benchmark score in 1999.
Thank you.

New Year’s Speech from the President
January 5, 1999
Happy New Year
Below is the summary of this year’s objectives.
1999 will be the fourth year of our long-term 5 years business plan. Until now we are not far off from the plan due to the low interest rate and the stable income from our railway business. There will be 2 more years and we would like all of you to continue their effort to achieve this plan. Also for those department who have difficulty achieving the business plan we would like them not to give up but to get close to the original plan as possible.
Due to economic situation in Japan, company profit has decreased which lead to refraining from spending in capital expenditure. At the same time employment problem caused cutback on salary and made consumption very weak. Together with this decrease in export, which was supporting the business condition made the situation serious. But we can not just cry over these economic situations around the world.
There are a lot of companies who are maintaining their business. These companies either focus their people, material, money and other resources to one field or technically have the lead against other company. These companies are showing their strength during this difficult time. They will continue to grow and the gap between those companies that can not convert from the old management style will become bigger. It might be that they are from a different specialty and the same way might not be suitable for our company but there must be a way to improve our business in difficult times like this.
For each department we would like you to move away from the old way of doing business and study ways to create new products and operational process with innovative ideas. At the same time we would like you to control the cost and acquire competitive strength. Consumption is still very slow but if we can create "items" or "service" that people desire, it will give us a good result.
Administration department should make an object to drastically change their work process in order to cut down cost and make every effort to work efficiently. Also always think how you can support the operating departments.
We realize that people are the wellspring of business development. In order for our company to continue business with vitality, in accordance with our management policy, which is to "value individuality and make the most of each person", we must put the policy into practice and pull out all employees individuality and potential. At the same time we must look into harmonizing the individual progression and treatment by changing the qualification system and the salary system.
For our company to succeed it is crucial that we look into the existing system and rectify the problems in order to motivate all employees and pull out their potentials.
Now a day the environment condition is getting worse and we must minimize our bad effect against the environment while doing business. In order to put our Group Policy "Create a beautiful living environment" and "Manage in harmony with the natural environment" into place, last year we have organized the "Environment Activity Promotion Committee". They will be the main body to examine ways to do business without harming the environment. We have asked all departments to grapple with the problem but we would like all employees to also think and practice what they can do as an individual.
This year our business will suffer in a business condition we have never experienced before but we must unite to overcome this difficult time towards the new age. We long for everybody to make an effort and show the challenging spirit "Tokyu" used to have.
