Recently, I sent a memo to all hotels and regional sales offices sharing with you our company mission for 1999 in which we would like to establish many ABreakthroughs@. We want to establish a clear slogan ACaring without Compromise@ which is taken from our company vision : AProviding a Preferred Hospitality Experience by Exceeding Expectations and Caring without Compromise@.
ACaring without Compromise@ can be achieved through the concept of Absolute Care which we have been practising this past year. We have designated 1998 as AC1 (Absolute Care Year 1) and would like this to be carried on further in 1999. As per my memo, we ask each hotel to understand the following. Our company mission focuses on ABranding@. This divides into :
The What - PPHR Branding concept of ACaring without Compromise@
The How - By practising AAbsolute Care@ as defined by each function
How To Do - Each function=s Mission and Business Plans
Each of you needs to define what Absolute Care means to you in your area of work. Then together as a team, you need to clearly define your mission and action plans for 1999. This will form the fundamentals for your Business Plan.
When you build your Business Plan for 1999, you need to clarify the concept of Absolute Care which forms the bases for your action plan. Absolute Care is the tool that we will use to build our brand image. In these turbulent and challenging times, we feel that this will be the most effective way to achieve our company goals.
After your Business Plan has been completed, then we expect every team to work on and complete your budget for 1999. The process therefore should be :
a. Mission of Caring without Compromise
b. Build the Business Plan with Absolute Care
c. Build your budget around the above two
SALES AND MARKETING CONFERENCE
Although the economic situation has affected many of our hotels, we decided it is important this conference be held. In the challenging environment many of us find ourselves under, we must find creative, different and new ways of doing business. A forum such as the Sales & Marketing conference will be very useful for all attendees to provide them with the tools and ideas to succeed in their various markets..
Although many will feel it is better to hold it in Asia, we have managed to obtain very favourable support from the owner of The Mauna Lani Bay Hotel and Bungalows and airlines such as Northwest. The meeting will take place at The Mauna Lani Bay Hotel and Bungalows from the 19 - 22 September 1998 and the attendees will experience a very comprehensive and impactful agenda.
This meeting must create ABreakthroughs@ for us, we need to be aggressive in this current environment.
ANNIVERSARIES
The Pan Pacific Sonargaon Dhaka, Bangladesh will celebrate it=s 18th Anniversary on September 1. In many places, reaching 18 years is a AComing of Age@, in many ways the hotel has seen many trails and tribulations throughout its past 18 years.
The hotel has played host to royalty and heads of state. It has weathered many storms and overcome major challenges. In the last three years, the hotel has certainly undergone a transformation. The new management style and operating philosophy of The Pan Pacific Way has been embraced by the team whole-heartedly. The team has embraced an international mentality and in return has achieved business excellence.
Many innovative activities, for example the orphans sponsorship programme, the butler training course and the preparation for the opening of the new hotel school have been developed because the team Acares@.
Congratulations to EJ and The Pan Pacific Sonargoan Dhaka team on this special day. We can now proudly say that The Pan Pacific Sonargaon Dhaka is indeed a member of the Pan Pacific family.
The Pan Pacific Hotel Yokohama celebrated it=s first anniversary recently. After one year of operation, I have to evaluate the Pan Pacific style of work has not yet been fully adopted at the hotel.
Japan is a homogenous society which holds a lot of pride on a strong business culture especially in the hotel industry. This has resulted in a mental hesitation towards adopting changes in the way of doing business. There is little flexibility in adopting new styles although this is very important in this current business environment.
I am confident the Pan Pacific Way is the best tool to use to apply to the way we do business in Japan. The service industry dictates our associates need to take the initiative to meet the needs of the guest. Management cannot issue a manual that teaches associates how to handle every guest need, as each guest is different. They must be handled on a one to one basis. The Pan Pacific Way educates, encourages and empowers associates to take the initiative in meeting every guest need.
This is a challenge both the corporate team and the hotel team will work to overcome. We will work hard together to achieve the goal of adopting the Pan Pacific Way of doing business.
I would like to share a story of initiative shown by a team of associates at the Atrium Lounge of The Pan Pacific Singapore. On August 20, at 20 minutes before closing time, the revenue for the outlet was S$4,800 which surpasses the budget of S$4,300. However, the team felt that they should aim to close with at least S$5,000 revenue. So all the team members took the initiative to upsell and by closing time, they had achieved a revenue of S$5,400! Congratulations to the team for their initiative and for taking it onto themselves to aim for a higher goal.
CORNELL UNIVERSITY RESEARCH
We had a distinguished guest at our Singapore hotel recently, Ann Campbell who is a Professor at Cornell University. She is writing a book that will be used by Cornell about operating a hotel in different cultures. Singapore with its multi-cultural diversity was picked as one of the countries of study and The Pan Pacific Singapore was selected as the base of research.
During her stay, Professor Campbell met with a random selection of associates from various departments and was very impressed by the team spirit that she found, very similar to a family unit. Her reaction was associates and management interacted together openly with no evidence of hierarchy.
Throughout her discussions, Professor Campbell felt Pan Pacific associates at all levels of the organisation felt empowered to act in the best interest of the guest and for the success of the business. After reading our company Vision, Mission and Values, she stated it certainly seemed to be Aworking@ at The Pan Pacific Singapore.
GENERAL MANAGERS= COMMITMENT TO TEAM
Last year, I asked every General Manager to spend one day at each department in the hotel. I would like to know how many General Managers have done so. To those who have not, I encourage you to seriously plan to do so soon.
This is essential in helping you understand the nature of the associate=s job. Before delegating any job to anyone, you need to know and understand the nature of the job, you need to know what is happening in the various areas. This will also generate a better rapport and understanding between all levels of associate in our hotels, Absolute Care I will start with top management commitment to frontline associates.

Putting Our People First
Manila -- Japanese language classes are being conducted twice a week. . . Lea Villanueva (Ops Manager, People Innovation) conducted the third stress management workshop. . . Four associates from business services and butler teams have undergone a four-month long sales training and education which includes a theoretical, practical and one-on-one training with Sales Managers. . . A three-day first aid and CPR training was held for selected associates who will be accredited First Aiders by the Philippine National Red Cross. . . The July birthday
Ababies@ celebrated their birthdays at the Westin Philippine Plaza. . . 14 new associates are undergoing orientation and will then join the business services and butler teams. . . All guest contact associates received training on Care, Concern, Consistency and Competency for guests. . . KLIA -- Three new associates graduation ceremonies have been held followed by afternoon tea. . . Managers attended
AFocus 1999" where planning for the next step to achieve the vision in 2003. They have been divided into AFocus Groups@ which will meet on a regular basis to keep the process alive.Jakarta -- Associates re-orientation programme commenced again in July for all 800 associates.
Mauna Lani -- A Y2k mandatory video presentation was held for all managers. . . . The Department of Liquor Control conducted law classes. . . . A management development programme was conducted for Robert Hines whilst the Francine Duncan Memorial fishing tournament was organised for associates.
Singapore -- A 2-day session of Business Strategy workshop - Grand Prix was held for all IBU manager and department heads. Plans were drawn up to deal with the current adverse economic situation. . . The WOW programme was recently reintroduce to front and back of the house associates. In August, Ms Jenna Hon (Atrium Lounge) won the front-of-the house category whilst Ms Fong You Chau (housekeeping) was winner for back of the house . . .25 associates from sales & marketing,banquet operations, front office attended a 1-day workshop on Effective Selling Skills. . . Executive Chef Chan Chen Hei (Hai Tien Lo) gave a talk on Cantonese cuisine to share his knowledge and experience of Cantonese cuisine with associates so that they are better able to promote the restaurant to guests.
Malacca -- The August associate birthday party was held. . .Managers attended a one day Train the Trainer session. . . The Malacca Fire Department conducted a fire squad training which included tips on fire prevention and control, practical training on use of fire extinguisher and a simulated exercise on fire-fighting and rescue. Fifty associates attended the training. . . The hotel team turned up to clean the hotel compound and back area, cutting grass, removing rubbish etc. . . Conversational English classes are held every Monday and Wednesday. . . Associates from various departments attended computer learning classes. . . A 4 day leadership programme for Operations Assistants featured topics like Confidence and You, communication skills, leadership and looking & feeling good about yourself. . . A skincare and cosmetic clinic for female associates was held.
Glenmarie -- Members of the Safety committee attended fire risk management course. . . The F&B team emerged champions in the inter-department quiz, second was front office. . . F&B training activities included a 36-hour management programme for outlet manager and team leaders; latest development in the culinary scene shared by Chef Koh; Ahmad Fuad Jamaludin (Keyaki Nouveau) commenced classes at Taylor
=s College for a Certificate in F&B service.Kuala Lumpur -- Team leaders attended a session to enhance their skills on coaching and counselling. . .Zalehar bte Ali attended cake decorating classes. . . F&B associates attended wine knowledge classes. . . Team Leader in Action 2 on motivation and teamwork, grooming, Reservations & communications skills, basic and intermediate English for housekeeping, F&B and engineering associates, Bullet Proof managers for managers and department heads, Malaysia Host for front line associates, basic word perfect skills and Diploma in Hotel Management for Norah Nongchik and Mohd Fadzli were other sessions conducted.
Johor Bahru -- The inter department volleyball tournament saw the Admin team emerging as champions with Kitchen as runners-up. . . . Abdul Hakim Abdul Jalil (Dir. Of Operations) and Seow Kee Fook (Maintenance Manager) attended the second session of the Energy Saving training course in KL. . . Procedures in the event of a power failure were formulated by Abdul Hakim Abdul Jalil (Dir. Of Operations). These were then distributed to all associates to help them understand their roles in such an event. . . The Sports and Recreation Club printed t-shirts printed 200 t-shirts which were sold out in one day. . . The Hospitality Institute students did a two-week practical session at KLIA, being involved in opening of the new hotel.
Dhaka -- Training sessions included fire fighting and safety procedure for housekeeping, medicare for F&B and kitchen, English language for front office, computer class for all departments, Spirit of Hospitality for all departments, Team Leader monitoring, Silver Service Butler programme, tour brochure class for front office, executive image for all departments, priority management, active listening class for housekeeping, telephone manners for PABX front office and industrial attachment for participants of Travel and Tourism Institute of Bangladesh.
Palau -- GM Mr. Uemura led a team of 14 associates to Ngatpang State to collect wild plants to beautify the resort. A beautification day was held with over 35 associates cleaning up the resort. . . Twelve associates went on an educational vacation tour of Manila and had an opportunity to stay and experience the hospitality of the Manila team. . . Grayton Mad (Supervisor of the Year 1997) and Agatha Eberdong (Associate of the Year 1997) went on a trip to Singapore. . . Due to the slow diving bookings,

=s visit there.KLIA -- CDI students from Johor Bahru spent two weeks at the hotel helping during the opening. GM Lloyd Daser led the hotel in hosting a farewell lunch at The Traveller
=s Bar and Grill.Yokohama -- Ms. Hanako Tanaka (concierge) will cross train in Bangkok for a month. She will share her knowledge with the local associates on how to better serve Japanese guests as well as promoting the Yokohama hotel amongst her Thai colleagues.
Palau -- Grayton Mad (Recreation Manager) is undergoing cross training in Rooms Division - Service One, front desk, telephone operation and reservations. . . Rose Adelbai (Service One Manager) is also cross training in the Rooms Division .
Dhaka -- Zulfia Asaf (Director of Education) attended a cluster group meeting of PPHR Educators in Johor Bahru.

Vancouver -- Beverly Toy has been appointed Group Services Manager from Duty Manager, David Seymour from Relief Duty Manager to Front Office Duty Manager.
Dhaka -- Mr. Ernesto V.Palaia joined as Director of Culinary Services. He comes from the Subic Bay Yacht Club, Philippines where he was Executive Chef.
Jakarta -- Mr. Eddy Herdiawan has been appointed Banquet Manager, responsible for sales, marketing and operations. Eddy was previously a Sales Manager.
San Francisco -- Lizette Taylor joins the hotel as People Innovation Manager. She was previously in Human Resources in the courier industry and also has front desk experience.

AKaniela@ Akaka (Hawaiian Historian), Ms. Michelle Kaulu Amral (Hawaiian dancer), Mr. Patrick T.Saito (Chef de Cuisine, Canoe House) and Mr. Thomas Viernes (Asst. Chef de Cuisine, Canoe House). . . The anniversary was celebrated on 7 and 8 August with 540 Hawaiian leis being distributed at the Queen=s Circle event square next to the hotel. Hawaiian music and dance performances also entertained the guests.Vancouver -- There was a fantastic turnout for the annual associate and family picnic based on the Hawaiian luau theme. Barbecue suckling pigs, chicken, hamburgers etc was prepared by Chef Dorfler and team. . . The winner of the 1998/99 scholarship are Kim Halowski (reservations) who is enrolled in BCIT for an Associate Certificate in Tourism Marketing Management ; Orestes Brotonel (housekeeping) studying culinary arts at Vancouver Community College. Johor Bahru --The hotel has formed internal focus groups, where associates from all departments participate in sessions to discuss matters which would impact and improve guest satisfaction. . . The hotel was given approval by the Fire Department when it conducted an inspection to determine the level of safety. . . Sales Managers will do daily duties at the lobby and spend their time mingling with hotel guests, building relationships and obtaining feedback.
Dhaka -- The hotel will celebrate its 18th anniversary on September 1 & 2. A special issue of the Oasis newsletter was published including a message from Mr. Umehara which said

AStandard@ day has been initiated where one generic standard is covered with the team, this will be followed by a divisional standard.KL -- To enhance the food quality at the Pan Cafe, all meals are supplied by operating kitchens, there is no longer a specific kitchen for the cafe. . . Associates from various departments jumped in to help out at the laundry department when it faced a shortage of associates.
EXCEEDING GUEST EXPECTATIONS
Jakarta -- A new airport counter at Terminal D Soekarno Hatta was opened to provide facilities like waiting room, registration and check in to hotel guests.
Vancouver -- Pacific Class I is a new level of service offered to guests reserving deluxe suites at a minimum of $1040 inclusive of amenities like airport pick-up and drop-off, in-room registration, personalised stationery and business cards, welcome fruit and mineral water , coffee table pictorial book on Vancouver.
Manila -- Teddy Locsin, a leading media personality enjoyed his stay at the hotel so much that he wrote a story about it in the TODAY newspaper and also filmed his entire experience to be shown on his television programme ASSIGNMENT.
Dhaka -- Mr. Kamaluddin (laundry washer) received a reward from a guest for returning money found in a pair of trousers belonging to the guest who is the FBCCI President.
Johor Bahru -- When a Japanese guest had been robbed whilst out of the hotel, Roslee Adbul Rahman (Bellman) personally accompanied him for two hours to replace his spectacles, watch and camera. The grateful guest presented Roslee with a gift of appreciation. . . A member of the banquet crew took his initiative and purchased with his own money 30 ashtrays for the guests of an outside catering function. The client had forgotten to purchase the items and was pleased with the service. . . The Crown Prince of Johor was pleased when the hotel was able to accommodate his last minute request for a surprise birthday party for his consort Her Highness Raja Zarith Sofiah. The party was held at the Paolo Mediterranean Restaurant. . . The Room Service department will be the first to start offering nett prices, ahead of the national deadline of 1 October 1998. . . An outside lunch catering booked only two hours in advance by the Landmark Mall for its directors and VIP guests was successfully presented by the Banquet and Hai Tien Lo teams. The client was extremely pleased and had confirmed two future events.
Palau -- The Guest Services Department has been changed to Service One with a Service One Manager and a central location in the lobby. All guests can now just dial one number for all assistance.
Kuala Lumpur -- A new telephone system has been installed in all 550 rooms with features including voice mail, call waiting, personal computer/fax line and wake-up call. . . The Pacific Floor rooms and corridors have new carpets. . . In conjunction with the upcoming Commonwealth Games in KL, the hotel has produced 12 bookmarks, seven of which feature a Pan Pacific hotel exterior whilst the rest feature sites of Malaysia. These bookmarks will be placed in guest rooms during the 12 nights of the Games.
Yokohama -- There has been a re-organisation within the structure with new designations of Asst. GM for Protocal /Special Task, Senior Director of Sales, Directors of Sales, Marketing, Restaurant and Banquet.

Johor Bahru -- Selasih Restaurant has started Saturday High Tea with cooking classes. Response has been encouraging. . . The Hai Tien Lo team sets up a Ahawker stall@ in the lobby on Saturdays and Sundays selling take-away chicken rice with dim sum for only RM9.99 nett. This has proven to be popular with guests. . . The Selasih Merdeka Buffet lunch to commemorate the nation=s 41st independance day had doubled walk-ins to the restuarant.Yokohama -- During the anniversary celebration, children will be given table place mats that they can colour on. . . Bridal Fairs were held in August resulting n almost 1500 visitors.
Jakarta -- The Indonesian independence day was celebrated with a Indonesian food promotion which was officially opened by Directorate General Of Tourism.

ACuisine of the Sun@ food and wine extravaganza held in late July featured 13 chefs from around the world. Palau -- The Outrigger Palacia Hotel Palau soft-opened in mid July with 60 of 165 rooms. Since then, another 95 rooms have been opened, leaving another 10. . . During certain days of August, 4 major Taiwan travel agents supplied the hotel with 22 rooms daily with the start of Uni-Air extra charter flights.Yokohama -- The Yokohama Cosmo World, an amusement park located across the road from the hotel recently had its grand opening. They hope to be fully completed and functional in early spring of 1999.
Malaysia --The weakened ringgit has made Malaysia a cheaper destination, with the current exchange rate of US$1=RM4.20 and RM1=6.79 British Pounds. But are tourists coming to Malaysia? Are the Culture, Arts and Tourism Ministry and MTPB doing enough to woo tourists here? The ministry itself has revised downwards its forecast on the number of tourists arrivals for this year from 7.8 million to 6.8 million.
Several local travel agents and hoteliers believe that promoting too many destinations for the tourists to choose from would result in them being confused and have difficulty deciding. Tourism Malaysia is doing all it can to promote the country, but because of limited budget, they have to be selective in the overseas market, to ensure that promotional efforts are not wasted. However, the current economic downturn is largely the reason for the drop in tourist arrivals and Malaysia may not be able to compete with other popular destinations such as Bangkok and Hong Kong which have bigger advertising and promotions budget.
Brochures featuring the country's attractions is one way of reaching the public, while the Internet would be good to foreigners. It was also suggested that Tourism Malaysia make some improvements to its homepage, which lacks information. Foreign visitors would like to visit smaller towns and not just major cities in the country.

Johor Bahru -- A team of 13 runners made up of associates, IBU managers and department heads lead by GM David Callaghan participated in the Commonwealth Games Queen=s Baton Relay in the Johor Bahru leg of bearing the torch. . . . The E-Run saw a record of 6,150 runners contributing to RM42,000 collection from entry fees. The proceeds will be used to fund environmental education projects in schools. The largest team award went to the Convent Secondary School with 411 participants whilst the best dressed team award went to the Landmark Mall.

Nilai College students paid a half-day visit to the hotel. . . The hotel will recruit an industrial trainee who is doing the Hospitality Management course at the Stamford College in Malacca.Vancouver -- Since converting all guest room beds to duvets, the hotel was able to donate over 300 bedspreads to various charities.
KLIA -- Two managers were educated on The Commonwealth Games Hosting programme and will be able to handle any enquiries on the games, they will assist as volunteer Games Officials. . . A team of 11 students from the Institute of Technology Mara studying Hotel Management paid a visit to the hotel to learns all aspects of hotel management.
Glenmarie -- As part of the year long "Newspaper in Education" programme where the hotel donates newspapers to 10 schools, a visit to one of the school was made. The team attended an English class where the newspaper was used as a tool. They also attended a briefing by the school headmistress and a presentation at the school hall with the students. . . A booth to promote Pan Pacific hotels was set up at the 2 week exhibition launching a "Reading Campaign" where historical sites and tourism within the state were also promoted.
Palau -- The resorts club members were treated to a beach BBQ party. . . The resort "co-ed" baseball has made it to the play-offs of the "Co-ed" Softball tournament.

"TOQ-BOX", The Advertising Train
Literally tens of millions of people in Japan commute by train between home and place of business or school. The average Tokyo commute is well over an hour in each direction. Passengers on the jam-packed trains pass the time between destinations by reading - newspapers, magazines, books, by snoozing, or just enduring the crowd. And there are those who while away the time by browsing through the many advertisements posted on the walls and ceilings of the trains. Each coach provides display space for a hundred posters. The attention of passengers bored by the daily commute is often captured by these advertisements. A number of weekly magazines, for example, use this venue to promote their publications through intriguing excerpts of the latest news or tabloid gossip.
A thousand posters are displayed within the ten coaches of a Tokyu Line train. These trains arrive at a station every two minutes during the morning and evening commute hours. Millions of passengers are served by the Tokyu Line trains, many of who reside within proximity of the Line's railways. A repetitive captive audience, these commuting residents are considered a prime target for marketing. The public exposure provided by the Tokyu train displays can be remarkably effective. Of particular note are the two trains, the sobriquet "TOQ-BOX", serving the hour commute between Shibuya and Yokohama: these trains display a total of 2,206 advertisements - all featuring the same vendor - every two weeks. The elaborate posters advertising the release of the latest CD of EPIC SONY, one of the vendors are displayed in the TOQ-BOX, for instance.
During the summer of 1997, an entire four-week period of the TOQ-BOX display space was devoted to the Pan Pacific Hotels and Resorts chain. Every hotel within the chain received exposure through posters, all bearing the title, "A Pan Pacific Hotel Town". Each advertisement contained a portrayal of a locale and its resident Pan Pacific Hotel. Fourteen different posters were designed using the same format, each depicting a Pan Pacific Hotel and its location. The train passenger's eye would be led first to the city - San Francisco, Vancouver, Hawaii, Palau, Bangkok, Singapore, Dhaka, Wuxi, Yokohama, Jakarta, Glenmarie, Kuala Lumpur, Johor Bahru, or Pangkor - then guided to a photograph of the hotel. The commuter would soon be able to recognize a depicted Pan Pacific Hotel and its host city.
A new set of posters advertising Pan Pacific Hotels and Resorts were designed for the TOQ-Box display for the 1998 summer. Several of the new advertisements were created to celebrate the First Anniversary of the opening of the Pan Pacific Hotel Yokohama. One of these new posters features a photograph of a column in the hotel's lobby. The majestic column is decoratively draped with a passionate-orange hand-painted silk scarf, the delicate fabric swirling its way upward towards the deep blue of the lobby's two-storied ceiling. A second and a third poster showcase beautifully photographed images of a Pan Pacific Hotel Yokohama guestroom and the hotel's "Cafe Tosca", one highlighting the comforts of a typical guestroom, the other the restaurant's innovative Italian cuisine. Viewers absorb an image of a peaceful resort atmosphere from these advertisements, an "Urban Oasis" in the heart of Yokohama.
Another new poster depicts The Mauna Lani Resort's impeccable golf course. The advertisement was designed to point out the "One to One" service provided by Pan Pacific Hotels and Resorts. The Pan Pacific Hotel Yokohama further promotes The Mauna Lani Bay Hotel and Bungalows this summer by carrying through the Hawaiian theme: hotel staff attired in Hawaiian Aloha shirts welcome arriving guests; the decor includes a model of the Kilauea Caldera volcano and a statue of King Kamehameha; native hibiscus are in abundance. Visitors successfully identify the Pan Pacific Hotels and Resorts chain through the Yokohama hotel's cooperative promotional efforts.
The TOQ-BOX has been scheduled to make twelve daily round trips since October of 1986. Hundreds of clients have enjoyed opportunities to obtain display space for their products. We anticipate increased public recognition of Pan Pacific Hotels and Resorts through the chain's exposure on Tokyu Lines' TOQ-BOX.
