I had to do several tasks to computerise my business, I did a staff database, a spreadsheet to calculate costs, a data capture form and data checking sheets, sending letters to my staff and creating a website to promote the hotel. Database The problem that I had was my old method of storing staff details was very unreliable and wasted a lot of time. So I have now created a staff database on the computer using Microsoft Access. Some of the problems that I encountered whilst creating the database was I forgot to add in the field СtitleТ, which I had to add in later when creating the letters, by simply just inserting a new field called СtitleТ and using look up wizard so that there were several option to choose from. Another problem that I had was, when I was making validation rules for staff number I put in С>0999Т which makes the 1st person С1000Т, but it would have been better if I had put С>1000Т so that the 1st person will be 1001, so its easier to see how many people there are in the database. Some of the useful things in Microsoft Access are: I think that the data base was successful because it did: Spreadsheet The problem that I had with my old method of calculating costs was that it was very unreliable and it took along time to workout, and it was very often wrong. So I created a spreadsheet on the computer using Microsoft Excel. Some of the problems that I had whilst creating the spreadsheet were: Formulas giving С#VALUEТ, I had to then check the formulas and I found that the problems were on the Сif statementsТ where a value hadnТt been entered somewhere, and the formula was trying to work it out even when there was a blank cell, so I simply added on the end of the formula С, У-Ф)Т which made it when there was nothing entered a - would appear instead of #VALUE, which looks much neater and professional. Another problem that I had is that Microsoft Excel can only take up to 7 Сif statementsТ when I needed more for my validation, I sorted this problem by making two Сif statementsТ and then getting a third Сif statement to check that they both say СconfirmedТ. Some of the useful things in Microsoft Excel are: I think that this task was successful because it: Data Capture form & data checking form The problem that I had with my old method of collecting data was that it was done on an old hand written sheet what was barley legible and looked very unprofessional, and another problem that I used to have was I had to send out the old data capture form every few months to check that the data was correct, this wasted their time and ours, as we had to manually go through each bit and check. So I created a data capture form on the computer using Microsoft Word, I then merged the cells and made this into a data checking sheet my running a macro. The only problem that I had was getting the boxes all equal sizes, I sorted this by simply highlighting the cells and then going to distribute columns evenly.
