Legacy
Files Why
use FileView?
Information control, accountability, and
ease of use are the main reasons to use FileView.
Today we live in a world of an ever-increasing
need to accurately share information. Documentation is now electronic as well
as traditional paper based. Managers are under increasing pressures to make
decisions based on rapid fire changing and sometimes obsolete information.
Today we have a new job description
for this need to share information (Information Technology). We have
Information Technology directors and a staff to support them. This new
discipline has become necessary because of the flood of information being
created every hour of the day. This increase in information is projected to
continue at ever increasing rates. So what does this mean?
Some
typical problems…
·
Documents are created in a variety of
formats (*.txt,*.doc,*.wpf,*.dxf,*.dwg,*.bat,*.exe,*.lst, paper) on and on
·
Most end users are not schooled in all of
the generating programs of these different document types and never will be.
·
Overall most computer users are self-taught
by the try and see method of computer education. This means that most users are
not what you would call a computer geek, yet they are expected to know how to
access and properly use all of this diverse information.
·
Managers now must rely on several different
staff members to gather and organize this diverse information. Something that at one time a single secretary could provide.
·
Managers are expected to make quicker
management decisions while the information supporting these decisions may be
changing at the same instant.
·
Managers frequently are forced to make
decisions based on obsolete information.
Overall
problems:
What this means is that we have more and more
information to gather and sort through. In addition we need to
figure-out how to identify it, save it, store it, use
it, share it, compare it and distribute it. We need also to figure out how to get it
back should we ever lose it. We need to find it faster and
make sure all team members have the same information at the same time.
No wonder (Information Technology) is one of
the fastest growing management application careers in the world today.
Legacy
Files Why use FileView Cont?
A Reasonable,
Convenient & Cost Effective Solution:
Good
news! FileView does all of these tasks for you easily, quickly, and extremely
cost effectively. Simply by using FileView in its basic format all users are
assured that they have the latest most up-to date information available.
Customizing it gives you even more control and accountability by every user.
Managers
can easily gather their own information regardless of the file format
structure. Documents are easily accessible from one central location 24 hours a
day. Users do not need to be an expert on the generating program of these
documents, not even CAD type documentation.
FileView will enhance the
functionality of your entire staff by several fold.
They will be able to use this tool to minimize the redundant efforts that
plague the information sharing processes.
Your
suppliers and vendors will be more accountable for their participation in your
own customer’s projects. These suppliers will enjoy less pressure and more
accurate direction from owner sources.
FileView is a one-source
utility that can be successfully used by any team member, supplier, contractor,
or individual that has a need for instant information access when no one else
is available. Frequently common situations such as meetings, site inspections,
vacations, illness etc. may cause undesired delays in the flow of information
exchange. These delays may easily cause information to be lost or obsolete
information to remain in the distribution channel with many undesired results.
Using FileView minimizes these troublesome issues.
FileView
allows all users to update data, request tasks and complete requests when no
one else is around or available.
Legacy Files Doing More With Less
A Managers Burden:
All managers have dynamic
challenges. The target always moves. That is the nature of requiring a manager
in the first place. Good managers have the innate ability to adapt to changes
and still achieve their goals.
·
A ball team manager must be accomplished at
re-scheduling team players especially during injuries or illness. This doesn’t
always seem fair but the reality is not all players are always available.
·
A military general must manage an assault
regardless of the weather conditions or lack of desired supplies.
·
A business manager must keep the production
line and quality control standards to at least the minimum acceptable levels or
the whole company may lose market share.
·
Maintenance managers must keep minimum
standards even in the light of massive budget cuts. If they are not quickly
successful in maintaining minimal standards then they will find themselves on
that infamous slippery slope.
These
tasks at times seem impossible to achieve but the manager that is worth his
salt, as they say, will adapt and still gain maximum efforts from the tools and
personnel at hand.
A Managers Tool:
FileView
is an excellent tool for any manager to help control and manage information.
This information may come from a variety of resources and it may come in rapid
fire. The primary benefit of using FileView is now all managers may have a
one-source tool to control the most important part of the management process
itself (INFORMATION).

access for up to 5 concurrent users. There are no additional charges to use the
software. Billing is monthly with no minimum requirements for time usage. Some installations
may exceed several thousand dollars per month.
Pricing is simply based upon usage. Please remember the more you use
FileView the more cost justification that the system offers.

Legacy Files Cost Justification
Cost
justification does not always mean that a particular product is less expensive
or that a service will save you money. It’s true
meaning is that the cost of the product or service is justified for the
application at hand and is well worth the price paid.
With the above definition in mind we
are please to say that FileView has outstanding cost justification
characteristics for both tangible and non-tangible considerations.
Project Tangibles:
·
What is the average phone billing for your
typical project?
·
What are your average FEDERAL EXPRESS type
delivery charges per project per month?
·
What are your currier charges per project
per month?
·
What are your overtime charges per project?
·
What is your slush fund for unforeseen
project expenses per project per month?
Project
Non-Tangibles:
·
What is the cost per project per month for
lost data?
·
What is the cost for lost time per project
per month simply because a vendor did not return your phone call? Do you think
your firm’s time is worth more than $40.00 per hour for just one non-returned
phone call?
·
What is the value of minimizing conflicts of
accountability for each project per month?
One competitive
leading web site ASP whose service costs frequently exceed $1,500.00 per month
says that this type of service may easily save the typical user $90,000.00
annually on a single project. We agree.
Legacy Files What
If?
What if we have
scanned our file room documents and now have them on
CD’s?
·
This practice was quite common when magnetic
storage was considered too expensive to store massive amounts of image data.
The reality today is that magnetic storage costs are insignificant even in
consideration of storing 100’s of thousands of engineering size documents.
These CD’s may be easily read into FileView and put back into a live document
status. Then all documentation is back on line and readily available.
What if we don’t
have personnel to scan and index our documents?
·
FileView affiliate companies will perform
all necessary services to completely convert your manual file room into a fully
functional electronic file room.
What if we have a
scanner but don’t want to create a database?
·
FileView affiliate companies are available
for contracting services from any where in the world to create your database.
Databases are industry standard comma delimited files. These may be loaded into
any variety of flat file databases or relational database programs.
What if we want to
get rid of our plotters?
·
FileView allows simple file tagging and
distribution through the internet. For applications that require full size hard
copy you may use any of the readily available service companies such as Kinko’s
or any standard Reprographic blue printer. You may also just keep your plotter,
as you will use it far less than you do now.
What if we don’t
have the origination software for the electronic files sent to us?
·
The FileView web site has many downloads of
free viewers that are available for a whole host of the most popular file
formats.
·
You may download any of these viewers for
easy installation and use from the FileView database program.
What if we don’t
want our files on the internet?
·
No Problem.
FileView may be used as a stand-alone file room.
·
FileView may be used on a local area
network.
·
FileView may be used on a wide area network.
·
FileView may be used on the internet.
Legacy Files What
If Cont?
What if our vendor
is using one of those posting web sites?
·
Many Web Posting sites are now available.
Please understand that they are posting sites only and do not compare with a
document control system. Frequently these sites restrict the document downloads
requiring the user to order a hard copy print from the service provider, or a
fee must be paid to receive the image file.
·
Using FileView you are free to upload and
download and electronically distribute any file at any time to anywhere.
What if we use
specialty software for our applications?
·
FileView will store any file type.
·
FileView does not change the file to any
other proprietary format, as do many competitive services.
What if our
program files do not use viewers?
·
Many program files have no need to view the
file. These system files may still be easily stored and retrieved using
FileView.
What if you guys
go out of business?
·
FileView will continue to work as long as
Microsoft supports the windows platform. It is a very simple and stable product
line.
·
Remember that the FileView process does not alter
your files in any fashion. You may always just copy your files to any future
application without the fear of ever loosing any data.
What if we want to
change to a competitive product in the future?
·
Please remember the real value of your files
is your files. FileView is designed to be a very user-friendly tool to get to
your files. Any competitive product will simply need to accept standard file
formats.
What if you don’t
have a local affiliate vendor in our area?
·
Contact us. Tell us your preferred local
vendor. We will contact your preferred local vendor and arrange to establish a
working relationship with them to ensure that they may be suitable as a service
provider for the related services to FileView.
·
Please understand that FileView is available
as a complete software and hardware solution directly from Legacy Files the
developer. Legacy Files will provide complete turn-key applications as may be
desired for the application at hand.
