Board Meeting Minutes
May 16, 2007

The meeting was called to order by Board President, David Zorb at 6:36 P.M.

Members present: David Zorb, Bud Townsend, Costen Shockley, Lisa McVey, Bob George, Jim Stock, Allan Baker, Nancy Riale and Doris DeFilippis.

Absent: Dave Tober

A motion was made by Bud Townsend to accept minutes of the previous meeting, with corrections, and seconded by Costen Shockley. Motion was accepted by unanimous vote of Board.

Dave Zorb announced that everything is in good shape – course, Clubhouse, etc.

Financial Report:
The committee met this past Monday, May 14th. Two things were discussed – first, where are we in terms of cash flow. They will continue to go over this report every month.
Second, delinquents. Bob and Ralph are to go after the delinquent accounts. Bill payments are due by the 10th of the month and final payment due by the end of the month.
Why the shortfall? Income is not coming in as expected. Limited Social dues have been lowered hoping to bring in a lot more people. This has not happened. An updated report will be prepared before the June 20th meeting. Jim Stock reported that things are better than expected.

Golf Committee:
Trail Passes have brought in $37,000.00. This is all up-front money.

Member Guest:
Plans are underway and we have some people coming forward to help with the costs, sponsors, prizes, etc. He announced that some members want to invite a Limited Social member as a guest. Social members can play six times a year but Limited Social members are not allowed to play under his own number but can come in as a guest. Should they be allowed to play? Yes.

Greens Committee:
Costen reported on the irrigation pumps. Both of them are working. The Impellor is damaged and needs to be replaced. It has been put into service and hopefully will run for a while. There are no parts available for it. A new pump has been ordered but will take 8 – 10 weeks for delivery. We probably have spent $6,000. to $10,000. to keep the pumps running. The intake will be expensive. No price yet on the irrigation intake pump.
The new equipment is here and the sprayer worked well. Harry is working hard to get the old equipment to work but is has been abused in previous years. There is a new lawn mower and tractor with front end loaders and both have attachments.
Re drainage problem on #1. Nothing has been done yet but will be soon. Had to extend the chain on #1 in order to keep people off the greens. Drainage on #7 - with the two new houses that were built and getting all their run-off. We are going to send a letter to the HOA to explain the problem Dave will do the letter.

House Committee:
Nancy will be meeting with her committee next Tuesday – therefore, no report available. Michael’s review was done and he was very happy with it.
The review with Al went very well. He commented that the cleaning crew could do a better job. New aprons with Sussex Pines logo have been ordered for the wait staff.

Property Committee:
Allan reported that we are now six working days into the heating & air conditioning job. Originally figured it would take 8 – 9 days. The Pine Room problem will be addressed re installing a 5-ton AC unit in there with a $9600. electric heat pump. There is some additional duct work needed for the electric. Unit will be outside on the roof and the air handler in the attic. A new geo-thermal for the Pine Room would cost $10,960 but would be the same as what is upstairs now. Should be able to make a decision on the above by the end of next week – waiting until we see what the flow is going to be.

Membership Committee:
Tom Love will help Dave put together administrative end of system . Tom will take over after that. Open house was not successful – only one Social member so far. Want to work on the web site later this year.
Deal consummated with Ocean Atlantic. Vouchers will go out to them for when they send someone over here. $20.00 cart fee and the agents pay full amount for everything We will contact Robino and go ahead with a $2,000 initiation fee rather than $3,000. for new homeoweners.
Going to try to work up an agreement with the hotels.

Old Business:
Re the Member/Guest tournament, The Committee would like to have 36 teams. Jim said Financial Committee will be ready with presentation for the June 20th meeting.

New Business:
None.

Motion to adjourn at 8:35 P.M. was made by Lisa and seconded by Nancy. All in favor.
The next meeting will be Wednesday, June 13, 2007.
