TDC Minutes

Board Meeting
June 4, 2001
Home of Lynn Boice

Present were Board members Ellie Stine-Masek, Jennifer Parker,
Debbie Legner, Iréna Callahan, Lynn Boice, Carolyn VandenBerg,
Michelle Manshardt, and Rachel Tanenbaum. Necessarily absent was Beth High and Robin Ritter. Also present were Dian Seabury and Terri Wayne. President Ellie Stine-masek called the meeting to order at 6:55 p.m.

Minutes: Minutes from the previous meeting were motioned for approval by J. Parker, seconded by M. Manshardt and passed with minor corrections being made by I. Callahan.

Treasurer's Report: The Treasurer's Report was approved as submitted by L. Boice. The organization is in fine financial shape.

Membership Report: There are 150 paid memberships but the membership chairperson has 148 names that she sends to the newsletter editor. A reconciliation will be done between L. Boice and S. Glock. R. Tanenbaum will print 100 address labels with S. Glock's address for TDC membership applications.

OLD BUSINESS
May Show

  1. D. Seabury reported on the financial success of the show. The finances are not complete but the show made between $5,000-5,500. The show made money in stabling fees, additional classes, and paid for 80 drug tests.
  2. The costs in the contract for the May 2002 show have not increased substantially. The livestock ramada is $650 per day; the jumper ring is $100; Friday is $300; and there is no charge for the restaurant. The total is about $2,600.
  1. Stine-Masek thanked the volunteers for a wonderful show and relayed positive comments from out-of-town competitors, judges, and others. She also reminded everyone about thank you notes to advertisers and sponsors.
  2. As an aside, E. Stine-Masek sug-         gested that all competitors and trainers be reminded to read all the

rules before filling out the show applications so that there are no surprises when you arrive at the show.

  1. Suggestions and resolutions that were made for improvements for the November show include:
     1.  hiring a chief adder: this idea was not well received, but the idea of a laminated sheet with the procedures for scoring was accpeted and will be done by C. VandenBerg.
     2.  handling missing shavings:  about $100 in shavings disappeared. The consensus was that at this time the dollar value is not significant to worry about.
     3.  acquiring new horse show management software: A consensus was reached that research needs to be done for what is currently available and report back at the next meeting. E. Stine-Masek will contact Dan Diaz and Sue Plasman. C. VandenBerg will contact S. Peacoat for details about the show computer programs that they are currently using.
     4.  E. Stine-Masek reported that Jay suggested that a high-quality boombox be purchased that will plug into the PA system at the showgrounds for both background music and musical freestyle rides. T. Wayne offered one as a donation.
     5.  J. Parker motioned and L. Boice seconded the purchase of a third complete arena and equipment to be used only at recognized shows for a cost of $2,200 to replace the old wooden standards. The motion was passed.
November Show
  1. The show dates are November 16-17, 2001.
  2. E. Stine-Masek will meet with TROT.
  3. The goal will be to have every highpoint and class sponsored.
  4. The financial goal for this show is to donate $1,000 or 20% of the profit to TROT, whichever is greater.

Schooling Shows
M. Manshardt reported the following schedule for the schooling shows:
June 10, Cochise, A. MacGuire (L)
August, Cochise
September, Pony Club
November 11, Oasis

M. Manshardt will get together with Faye Gandolfi of Desert Dove to pre

sent another possible benefit for TDC schooling shows and present more information at the next meeting.

Freestyle Clinic
Cindy Collins has been contacted by E. Stine-Masek. Two dates are being considered, September 7-9 and December 8-9. The cost to participants is $200 for the two-day clinic. E. Stine-Masek will get a bio from Collins. J. Parker will be the chair for this event, and M. Manshardt will assist. I. Callahan motioned, R. Tanenbaum seconded, that the freestyle clinic be held in December and a half-page ad be placed in the Omnibus. The motion passed.

Newsletter
Frances Woolford's obituary will be published in Transitions.

TDC Dressage University
Future programs will include:
Cathy Schreiber and Shelley Rosenberg, July 21, flying changes;
Sydney Turner, August ?, cavelletti and extended trot.

L. Boice requests dates for insurance purposes.

There is some confusion about auditors paying for these sessions. Auditors will pay for the sessions and this policy will be followed-up with B. High.

The second issue is the policy about instructors donating their time for a tax deduction.E. Stine-Masek will check into this possibility.

Omnibus
There are five instructors who have paid for half-page ads in the trainer directory. The Santa Rita Show will not be included in the directory. E. Stine-masek has authorized the movement of the profit from the Omnibus to the general fund. L. Boice will deal with the financial reconciliation for the paperwork. The policy for the All breed Registry Awards for the Omnibus will be Arabian, Quarter Horse, Thoroughbred, and others pending sponsorship and will be offered for the single highest score.
